# Mektebi: Help for mosques > Short guides for imams, mekteb coordinators and mosque boards: set up your mekteb and run it day to day. --- # Set up your mekteb The seven steps that take a new mekteb from sign-up to its first class. Do them in any order. When you register your mosque, Mektebi asks how you want to start. Most mosques pick a ready starting point: it creates the school year, the usual levels, one empty course per level and a first room. Nothing about people is created. Children join later, when their parents register. ## Start from a ready starting point 1. On **How do you want to start?**, the starting point marked **Recommended** comes first. 2. Under **Level names in**, pick the language of the level names, for example Shqip or Deutsch. 3. Tap **Use this** and check the preview: the school year and its dates, the levels and the rooms. 4. Turn off the levels you don't teach. Tap **Add a room** if you have more than one room. 5. Tap **Create my mekteb**. The setup checklist opens with the first steps already done. Prefer to build everything yourself? Choose **Start empty**. You get the same checklist, with every step still open. ## The setup checklist The checklist ticks a step as soon as the work is done in Mektebi. You never tick anything by hand. Open a step to do it right there. 1. **Mosque details**: address, phone, time zone and logo. See [Mosque details](/help/mosque-details). 2. **School year**: its name and dates. See [School years](/help/school-years). 3. **Levels**: the standard levels, or your own. See [Levels](/help/levels). 4. **Rooms**: at least one room, more if several groups meet at the same time. See [Rooms](/help/rooms). 5. **Courses**: one course per level. See [Courses](/help/courses). 6. **First group and class time**: a group with a day and time. **Show me** walks you through it on the Mekteb plan. See [Groups and class times](/help/groups-and-class-times). 7. **Teachers and families**: invite a muallim and share the registration poster. See [Invite teachers](/help/invite-teachers) and [Families register with the poster](/help/families-register). When every step is done, tap **Finish**. You land on your dashboard. ## Skip for now The person who registered the mosque is taken to the setup after signing in, until it is finished or skipped. **Skip for now** takes you to your dashboard, where the card **Finish setting up your mekteb** keeps your progress. **Hide** removes the card; **Setup checklist** in **Help** and **Finish setup** in the menu still lead back to the checklist. Other admins of your mosque see the same progress on their dashboard and can do any step. ## Ask an AI tool There are two ways: connect your AI tool once, or copy a single guide. **Connect your AI tool once.** Claude or ChatGPT then knows every Mektebi guide, and you can simply ask it how something works. The address is `https://mektebi.ch/help/mcp`. 1. In **Help**, open **Connect your AI tool** and tap **Copy address**. 2. In your AI tool's connector settings, add a new connector and paste the address. 3. Give it a name (for example “Mektebi Help”) and save. The card shows the exact steps for Claude and for ChatGPT. In the Mektebi app, copy the address there, then add the connector in your web browser. Mektebi shares only these public guides, never your mosque's data. **Copy a single guide, no setup.** Every guide also has a **Copy for ChatGPT / Claude** button. It copies the guide with a short note, so you can paste it into ChatGPT or Claude together with your question. Never paste children's names or other personal data into an AI tool. Source: https://mektebi.ch/help/setup?locale=en --- # Mosque details, logo and time zone Keep your mosque's name, logo, address, phone and time zone up to date. Families see them, and certificates print them. ## Change the name, logo or time zone 1. Open the menu with your name and choose **Settings**. 2. Open **Mektebs** and tap **Edit** next to your mekteb. 3. Change the name, or upload a new **Logo**. 4. Check the **Time zone**. Class times in the calendar use this time zone. 5. Tap **Save changes**. ## Phone and certificates On the same page, the section **Certificates and diplomas** holds the **Phone**, the website and the city printed on certificates and diplomas. Save the section when you are done. ## Address during setup The first step of the setup checklist is **Mosque details**. See [Set up your mekteb](/help/setup). 1. Open the step in the checklist. 2. Fill in **Street and number**, **Postcode**, **Town** and **Country**. 3. Add the **Phone** and check the **Time zone**. 4. Add your logo if you like (**Add your mosque's logo (optional)**). 5. Tap **Save**. The step is ticked once the street and the phone are saved. Source: https://mektebi.ch/help/mosque-details?locale=en --- # School years Groups, class times and attendance belong to a school year. Create the year, check its dates, and start the next one in summer. A mekteb usually runs from September to June. Your levels, rooms and courses stay from year to year. Groups, class times and the children's places belong to one school year. ## Create a school year 1. Open **Mekteb plan** and tap **All years**. 2. Tap **New school year**. 3. Enter a name, for example "2026/27". 4. Set the **Start date** and the **End date**. 5. Tap **Create**. If you have no school year yet, **Mekteb plan** shows a **New school year** button that does the same. ## Change the dates Open the year from **All years**, tap **Edit**, change the dates and tap **Save**. Class times need a start and an end date. ## Which year is current Mektebi opens on the current school year. To change it, open **All years**, open the menu **Actions** next to the year you want and choose **Make current**. ## Start the next year At the end of the year, open **All years**, open **Actions** next to the current year and choose **Start next year**. Mektebi guides you through it and keeps your levels, rooms and courses. Source: https://mektebi.ch/help/school-years?locale=en --- # Levels Levels are the stages of your mekteb, for example Elifba, Qur'an reading and Tajweed. You set them once; each year children are placed in them. ## Add a level 1. Open **Levels** in the menu, under **Settings**. 2. Tap **New level**. 3. Give it a name, for example "Elifba". You can add the name in other languages too. 4. Choose **How children learn**: **In a group**, **Alone** or **Individual and in a group**. 5. Choose **How we mark progress**: **Grades**, **Done or not yet** or **No marks**. 6. Tap **Create**. ## Change or remove a level Tap a level to open it, change what you need and tap **Save**. A level that is still in use can't be deleted; Mektebi tells you what still uses it. ## What a level covers Open a level and choose **What it covers** to list its lessons, surahs and texts in teaching order. Teachers use this list to record each child's progress. ## Next step Each level needs a course before you can give a group a class time. See [Courses](/help/courses). Source: https://mektebi.ch/help/levels?locale=en --- # Rooms The rooms your classes meet in. Add at least one; Mektebi warns you when two groups need the same room at the same time. ## Add a room 1. Open **Rooms** in the menu, under **Settings**. 2. Tap **New room**. 3. Give it a name, for example "Room 1" or "Women's prayer hall". 4. Enter the number of **Seats**, or leave it empty for no limit. 5. Choose **Where**: in the mosque, online, or both. 6. Tap **Create**. ## Stop using a room Open the room and switch off **Available for classes**. Mektebi no longer suggests it for new class times; the classes already planned stay as they are. ## Rooms in the plan You pick a room for each class time in **Mekteb plan**. See [Groups and class times](/help/groups-and-class-times). Source: https://mektebi.ch/help/rooms?locale=en --- # Courses Each level needs a course before its groups can get a class time. Create one yourself or import a ready course from the Library. A course holds the lessons of a level. For a class in the mosque it can stay empty at first: the course only has to exist and belong to its level. ## Create a course 1. Open **Courses** and tap **New course**. 2. Enter the **Course title**, for example the name of the level. 3. Tap **Create**. The course opens on **Course Details**. 4. Open **Publishing** and, under **Level**, choose the level this course belongs to, then tap **Save**. ## Import a course from the Library 1. Open **Library** in the menu. 2. Open a course and look through its lessons. 3. Tap **Import to my mekteb**. Mektebi makes a copy for your mosque as a draft. 4. In the copy, open **Publishing**, choose the **Level** and tap **Save**. Your mosque and its teachers decide what is taught. Check an imported course before you use it. ## Who may change a course Every muallim and admin of your mosque can open and read every course. Only the course's own muallims and the mosque's admins can change it, record its grades and set its knowledge checks. A muallim who creates a course, copies one with **Clone** or imports one from the Library becomes one of its muallims. To add a muallim to a course: 1. Open the course and tap the **Muallims** tab. 2. Under **Add muallim**, choose the muallim. Only an admin or one of the course's muallims can add someone. ## Record grades 1. Open the course, tap **More** and choose **Grades**. Muallims also find this button on the course card in their **Dashboard**. 2. Check the school year at the top: grades belong to one school year. 3. Tap a learner's field under a category, for example **Midterm** or **Final**. 4. Under **Grade**, enter a grade from 1 to 6 in half steps, for example 4.5 (6 is the best grade). You can add a **Remark (optional)**. 5. Tap **Save**. The learner and their parents get a message. Only the course's own muallims and the mosque's admins can open the grades: they are about children, so other staff don't see them. To record grades, an admin also needs a muallim profile in the mosque; the grade sheet links to **Members**, where you add the role. ## Knowledge checks A knowledge check is a short quiz on a lesson, a chapter or the whole course. 1. Open the course, tap **More** and choose **Knowledge Checks**. 2. Tap **Add knowledge check**. 3. Under **Attach to**, choose the lesson, chapter or course. Under **When**, choose **Before** or **After**. 4. Add the questions, set the options below if you need them, and tap **Save**. - **Required**: learners must pass the check to go on. A **Before** check locks its lesson, chapter or course until it is passed; an **After** check locks what comes next. While a required check is not passed, the course is not completed and there is no certificate. Answers that wait for your grading lock nothing: they only hold back completion until you grade them. - **Time limit**: 1 to 180 minutes, with a countdown. When time is up, the answers are handed in; later answers are not accepted. - **Attempts**: how many times a learner may take the check while they haven't passed it. A learner who failed with no attempt left appears under **Out of attempts** on this page; tap **Give another try** to give them one more. They get a message. Written and recorded answers wait for you in **Knowledge-check review** on your **Dashboard**. Give points and feedback for each answer, then tap **Release grade**. The learner then sees the result of each question with your feedback. Source: https://mektebi.ch/help/courses?locale=en --- # Groups and class times A group is one class in a level, for one school year, for example Elifba A on Saturday at 10:00. You plan groups in **Mekteb plan**. It shows the levels of the current school year, their groups, and the week. ## Create a group with a class time 1. Open **Mekteb plan**. Stay on **Levels and groups**. 2. Under a level, tap **New group**. 3. Give the group a **Name** and tap **Create group**. The group opens on the side. 4. Pick the **Muallim** and the **Course**. The teacher can wait if you don't know yet. 5. Turn on the **Days**, then set **Starts** and **Ends**. 6. Pick a **Room** if you know it. 7. Tap **Save**. The classes appear in the calendar from today on. A group needs a course of its level and a school year with dates. If one is missing, the group tells you what to add. ## Put children in a group When children have no group yet, **Mekteb plan** shows a note with **Place them**. Tap it, pick a child and choose a group, or **Teach alone** for one-to-one teaching. ## Check the week **The week** shows every class time by day and room. Two groups in the same room at the same time are marked, so you can move one. ## Change one class A class opens 30 minutes before it starts. From then on, its muallim can start it and take attendance. As an admin, tap the number next to **Muallims** on your **Dashboard**, open the class's muallim and tap the class under **Sessions**. That is your way into a class. To change one class, open it, for example from your **Dashboard** or the **Calendar**, and tap **Edit**. In **Edit Session** you can: - move it to another day or time. The learners and their parents get a message with the new time. - give it to a substitute under **Muallim of this class**. The substitute gets a message and can run this class (attendance, lesson, notes), but cannot move it to another day, time or room. An admin or a muallim of the course can do this. - choose another room. If the room is already in use at that time, you see **Room already in use**. Tap **Save anyway** to keep the change. In the **Calendar**, a muallim can also drag a class to a new time. Mektebi asks first (**Move this class?**) and then tells the families. Source: https://mektebi.ch/help/groups-and-class-times?locale=en --- # Invite teachers and admins Invite a muallim or a second admin by email. They get a link, create their login and join your mekteb. ## Invite a muallim during setup 1. In the setup checklist, open **Teachers and families**. 2. Under **Invite a teacher**, enter the **Name** and **Email**. 3. Tap **Send invitation**. The step is ticked. ## Send an invitation later 1. Open the menu with your name and choose **Settings**. 2. Open **Mektebs** and then your mekteb. 3. Tap **Invite A User**. 4. Enter the person's **Name** and **Email**. 5. Under **Roles**, choose **Muallim**. For someone who helps you run the mekteb, choose **Admin** as well. 6. Tap **Send invitation**. ## After the invitation The person gets an email with a link. Until they accept it, the invitation shows in **Members**. From there you can send it again (**Send again**) or copy the link and send it yourself, for example on WhatsApp. Once the muallim has joined, give them a group in **Mekteb plan**. See [Groups and class times](/help/groups-and-class-times). A muallim can open and read every course, but changes only their own: the ones they create, copy or import, and the ones an admin or another muallim adds them to in the course's **Muallims** tab. See [Courses](/help/courses). Source: https://mektebi.ch/help/invite-teachers?locale=en --- # Families register with the poster Parents register their children themselves with your QR poster or link. You then approve each child. Set up your levels and courses first: when you approve a child, you choose their level and course. ## During setup In the setup checklist, the step **Teachers and families** has both: **Print the poster** opens the poster for parents, and **Copy the WhatsApp text** copies a short message with your registration link and Mektebi code. Either one ticks the step. ## Print the poster 1. Open **Registration QR** in the menu, under **Admin**. 2. Under **Language**, choose the language the families read. 3. On **Parent registration**, tap **Download A4 poster (PDF)**. 4. Print the poster and hang it at the entrance or in the classroom. Parents scan the code with their phone camera, fill in a short form and add their children. No app is needed. ## Share the link on WhatsApp On the same page, tap **Copy link** (or **Share** on a phone) and send the link to your parents' group. The link already carries your mosque, so parents land in the right mekteb. ## What happens next Each new family waits for your review. You see it on the dashboard under **Needs you**. See [Approve a family](/help/approve-family). Source: https://mektebi.ch/help/families-register?locale=en --- # Approve a family and place the child A family that registered waits for you. Approve the parent, then place each child on a level and course. ## Approve the family 1. On the dashboard, open the family under **Needs you**. Or open **Parents** and look for **Pending review**. 2. Check the parent's details and children. 3. Tap **Approve** to approve the parent. 4. Next to each child, tap **Place & approve**. 5. Choose the **Level** and the **Courses** the child joins. 6. Tap **Place & approve** again to confirm. If a registration is not for your mekteb, tap **Decline**. You can add a reason. ## Give the child a group An approved child has a level but no group yet. Open **Mekteb plan** and tap **Place** to put the child in a group. See [Groups and class times](/help/groups-and-class-times). Source: https://mektebi.ch/help/approve-family?locale=en --- # What Mektebi is _Mektebi 1.3 · reviewed 2026-10-24_ Mektebi helps a mosque run its mekteb. The mosque and its muallims publish the teaching, and the platform only hosts it. Mektebi is an online platform that helps a mosque run its Qur'an school, the mekteb. It gives the xhami one place for its classes, its teachers, its families and its everyday messages. ## The mosque is the heart of it Every mosque on Mektebi has its own space. That space holds its school years, its levels, its courses, its muallims, its students and their parents. A mosque sees only its own space. No other mosque can see its people, grades, attendance or messages. A mosque may choose to share a course, teaching content only, through the Library. A person who belongs to a mosque meets that mosque's name and teaching, not a general school catalogue. The mosque is the one that people know and trust, and Mektebi is built around that. ## Who decides what is taught The mosque and its muallims decide. They write the courses, choose the lessons and set the assignments. They are also the ones who answer for what is taught. Mektebi does not write, check or approve the teaching content. The platform hosts it and keeps it running. If a parent has a question about a lesson, the first person to ask is the muallim or the imam of the mosque. ## Who runs the platform Mektebi is built and run by FETOSOFT DOOEL, a software company in Kumanovo, North Macedonia. FETOSOFT hosts the platform on behalf of each mosque. You can reach the team at support@fetosoft.com. ## Who decides about the data The mosque decides what is recorded about its students, parents and teachers, and who may see it. FETOSOFT looks after that data on the mosque's behalf and follows the mosque's instructions. The chapter [Your data stays yours](/book/your-data-stays-yours) says more about this. ## Getting started A new mosque registers on the website and is guided through a short setup checklist. The checklist ticks each step by itself once the work is done: the mosque's details, the school year, the levels, the rooms, the courses, a first group and the first people. Nobody has to tick a box by hand, and a mosque can leave the checklist and come back to it later. {{shot:admin-dashboard}} {{shot:onboarding-checklist}} The people who run the mekteb, usually the imam, the board and a few helpers, are the admins of the mosque. Chapter [People and roles](/book/people-and-roles) explains who else takes part and what each person sees. ## Binding texts This book explains Mektebi in plain words. The binding texts are the [privacy policy](/privacy), the [data processing agreement](/dpa) and the [terms](/terms). If anything here differs from them, those texts apply. Source: https://mektebi.ch/book/what-mektebi-is?locale=en --- # Your data stays yours _Mektebi 1.3 · reviewed 2026-10-24_ Each mosque's data is kept apart from every other mosque. The mosque decides about its data, and FETOSOFT hosts it on the mosque's behalf. A mosque that uses Mektebi trusts it with the names of its families, the progress of its children and the messages of its community. This chapter explains, in plain words, what Mektebi promises about that data. The promises themselves are in the [privacy policy](/privacy) and the [data processing agreement](/dpa). ## The mosque decides, FETOSOFT hosts Each mosque is responsible for the data of its students, parents and muallims. It decides who is enrolled and what is recorded about them. In legal terms, the mosque is the controller. FETOSOFT DOOEL runs the platform. It processes that data only on the mosque's instructions, as the mosque's processor. It does not use the data for its own purposes, does not sell it and does not use it for advertising, profiling or analytics. The people at FETOSOFT who work with the data are bound by confidentiality. If you are a student, a parent or a muallim, your mosque is the first place to ask about your data. ## Each mosque's data is kept apart Every mosque has its own space on Mektebi, and its records are kept apart from those of every other mosque. A mosque sees only its own records: its people, enrolments, grades, attendance, notes and chats. Chats stay within one mosque. This separation is checked by automated tests on every change: every page is tested automatically against another mosque's records. Inside a mosque, each role sees what it needs. Admins, muallims, parents and students each have their own access. {{shot:members-list}} ## One person in several mosques A person can belong to more than one mosque with the same login. At each mosque they have a separate profile. - No mosque can see another mosque's records about the person, such as enrolments, grades, attendance or notes. - The login is one account that the person manages themselves: their name, email address, profile photo and password. - The name, email address and profile photo are visible to every mosque the person belongs to. - A mosque cannot change the login of a person who also belongs to another mosque. {{shot:profile-switcher}} ## What a mosque can share: courses, never people There are two places where a mosque's work can be seen outside the mosque. In both, the mosque decides. **The Library.** A mosque, through its admins or the muallims of a course, can share that course's content with other mosques through the Library. Shared content carries the name of its author and their mosque. It contains teaching content only: text, quizzes and embedded images or audio. It never contains learner data or mentions of people. **The public course catalogue.** A mosque can publish a course in the public catalogue on the Mektebi website, which anyone can view without signing in. A published course shows its title and description, the mosque's name, the muallim's name and photo, and the number of enrolled learners. The mosque chooses which courses it publishes. ## When FETOSOFT support looks in Sometimes a problem can only be solved by seeing what the user sees. For support, and only when it is needed, for example to solve a problem that you or your mosque reported, authorised FETOSOFT support staff may access a mosque's data or sign in as a user. This access is used only for support and to keep the platform running, and the staff are bound by confidentiality. ## Where the data is stored The data is stored in the European Economic Area: - The application and the database are hosted by Vultr in the Netherlands. - Uploaded files, such as audio recordings, images and documents, are stored with Cloudflare R2, in storage bound to EU jurisdiction. FETOSOFT runs the platform from North Macedonia, and its staff access the data from there to operate and support the platform. North Macedonia is not on the list of countries with an adequate level of data protection. This access is therefore covered by the EU Standard Contractual Clauses, in the version adapted for Switzerland and recognised by the Swiss Federal Data Protection and Information Commissioner. They are part of the data processing agreement with the mosque. Cloudflare is a company based in the United States. The files stay stored in the EU, and any access by Cloudflare is covered by the same safeguards as other transfers to the United States. A few service providers, for email, error monitoring and push notifications, process certain data in the United States. The [privacy policy](/privacy) lists them and the safeguards that cover them. FETOSOFT gives the mosque at least 30 days' notice before it adds or replaces any provider that processes the mosque's data, and the mosque can object. ## How long data is kept A mosque's member data is kept for as long as the mosque keeps its account active. When an account or a profile is deleted, the personal data that belongs to it is deleted or anonymised within 90 days. It is removed from backups within the normal backup rotation. Where the law requires certain records to be kept, they are kept only for as long as the law requires. Some data is deleted sooner, for example absence reports and the records of who opened a mosque notice. The [privacy policy](/privacy) lists these periods. When a mosque stops using Mektebi, it can choose to have its data deleted or returned. ## Your rights You have the right to: - know what data is held about you and see it; - have wrong or incomplete data corrected; - have your data deleted; - restrict or object to its processing; - receive your data in a portable format; - withdraw your consent at any time. The quickest way is usually to ask your mosque. You can also write to support@fetosoft.com, and FETOSOFT will act on the request or pass it to your mosque. You can also complain to a data protection authority: in North Macedonia, the Agency for Personal Data Protection; in Switzerland, the Federal Data Protection and Information Commissioner; in the European Union, the authority of the country you live in. ## Binding texts The binding texts are the [privacy policy](/privacy), the [data processing agreement](/dpa) and the [terms](/terms). If anything here differs from them, those texts apply. Source: https://mektebi.ch/book/your-data-stays-yours?locale=en --- # People and roles _Mektebi 1.3 · reviewed 2026-10-24_ One login can hold several roles at a mosque: admin, muallim, student and parent. Each role sees only what it needs. A mekteb is a community, and the same person often has more than one part in it. A muallim may also be a parent. A board member may help in the classroom. Mektebi is built for this. ## One login, several roles Each person has one login: a name, an email address, a profile photo and a password. At a mosque, the person has one or more roles. The four roles are: - **Admin.** Runs the mekteb: the school years, levels, courses, groups, rooms, people and notices. - **Muallim.** Teaches. Plans lessons, takes attendance, sets assignments and gives grades for their own courses. - **Student.** Follows the courses, hands in assignments and sees their own progress. - **Parent.** Sees the progress and timetable of their own children and talks to the muallims and the mosque office. When someone has several roles, they switch between them from the profile menu. Each role shows its own screens. The open role decides the home page and the menu. Admin rights belong to the person, though: someone who is both admin and muallim can still change the mekteb's setup from the muallim screens. {{shot:profile-switcher}} ## Joining a mosque A muallim or a second admin is invited by email. The invitation is a link: the person accepts it, creates their login and joins. Until it is accepted, the invitation stays visible to the mosque's admins, who can send it again. {{shot:members-list}} {{shot:invite-dialog}} Families register themselves. The mosque prints a poster with a code, or shares a link, and parents add themselves and their children in a short form. Nothing is created in the classroom until the mosque has looked at it. The mosque can also add a family itself: an admin or a muallim enters a child together with their parents, or adds a parent to a child who is already registered. A parent added this way is approved at once. ## The mosque approves families A new family waits for the mosque's review. An admin or a muallim checks the parent's details and the children and approves them. Only an admin places each child on a level and in a course; a child that a muallim approves waits on the Mekteb plan until an admin places it. A registration that is not meant for this mekteb can be declined, and a reason can be given. {{shot:parent-review}} ## Children Many students are children. A child is added by their mosque, which is responsible for any consent that is needed. Parents manage their children through their own login. The [privacy policy](/privacy) describes how children's data is handled. ## One login across several mosques A person can belong to more than one mosque with the same login. At each mosque they have a separate profile. The guarantees are these: - A mosque cannot see what the person does at another mosque. Enrolments, grades, attendance and notes stay at the mosque where they belong. - The login itself belongs to the person. A mosque cannot change the name, email address, photo or password of someone who also belongs to another mosque. - The person's name, email address and photo are visible to every mosque they belong to. ## Binding texts The binding texts are the [privacy policy](/privacy), the [data processing agreement](/dpa) and the [terms](/terms). If anything here differs from them, those texts apply. Source: https://mektebi.ch/book/people-and-roles?locale=en --- # How teaching is organised _Mektebi 1.3 · reviewed 2026-10-24_ How a mekteb's teaching fits together, from school years, levels and groups to courses, lessons, attendance and grades. Mektebi follows the way a mekteb already works. There is a calendar of the year, stages for the children to move through, a place and a time for each class, and the teaching itself. ## The year, the levels and the groups A **school year** is the frame. A mekteb usually runs from September to June. Groups, class times and the children's places belong to one school year, so each year starts clean. When the year ends, the mosque can start the next one and keep its levels, rooms and courses. A **level** is a stage of the mekteb, for example Elifba, Qur'an reading or Tajweed. The mosque sets its levels once. Each year, children are placed in them. {{shot:levels-list}} A **group** is a set of children who learn together with a muallim. It has a course, a room and a class time. A **room** is the place where the group meets. Mektebi marks two groups that would meet in the same room at the same time, so the mosque can move one. {{shot:plan-week}} ## The teaching: courses, chapters, lessons, assignments A **course** holds the teaching for a level. It is split into **chapters**, each chapter holds **lessons**, and a lesson can have **assignments** for the students. The mosque and its muallims write this material and answer for it. A muallim can read every course of the mosque, but changes only their own and those they have been added to. Admins can change them all. {{shot:course-page}} A course can be copied and reused, and a mosque may share one with others through the Library (teaching content only, never people), and it can be kept as a draft until it is ready. Students see it only after it is published. ## Class days On a class day the muallim opens the session for the group, takes attendance and sees who is there. Parents can tell the mosque in advance when a child will miss class. The [privacy policy](/privacy) describes how these absence reports are handled. {{shot:teacher-session}} ## Progress and grades Mektebi records each student's progress through the lessons, so the muallim sees where each child stands. Muallims can also give grades. Grades use one scale for everyone: the Swiss scale from 1 to 6, where 6 is best and 4 is a pass, in half steps such as 4.5. Students and parents see their own grades and nobody else's. Progress and attendance are tools for the muallims. They do not make decisions about a child on their own. ## Binding texts The binding texts are the [privacy policy](/privacy), the [data processing agreement](/dpa) and the [terms](/terms). If anything here differs from them, those texts apply. Source: https://mektebi.ch/book/how-teaching-is-organised?locale=en --- # Languages _Mektebi 1.3 · reviewed 2026-10-24_ Mektebi speaks six languages: English, German, Albanian, French, Italian and Romansh. Each person chooses their own, and Romansh readers see German where a text is not yet available. A mekteb often brings together families who speak different languages at home. Mektebi is written for this. The same screen can read in Albanian for one parent and in German for the muallim sitting next to them. ## The six languages Mektebi is available in: - English - German, in the form used in Switzerland - Albanian - French - Italian - Romansh The screens, the buttons, the messages, the emails and the notifications are all translated. The wording aims to sound the way people speak in the community: clear and respectful, as a mosque would write to its families, and not stiff or academic. German uses the Swiss spelling and speaks to you directly. ## How a person's language is chosen Each person picks their own language, and it belongs to them, not to the mosque. A muallim can read Mektebi in German while the parents of the same class read it in Albanian. - **When you are signed in**, Mektebi uses the language you chose in your settings. - **When you are not signed in**, the website opens in a language that suits where you are, for example Albanian in Switzerland, and remembers the language you used last. In the apps, the language of your phone is used. You can always switch language on the sign-in page. - **Messages sent to you** (notifications, emails and documents) are written in your language too, even when you are not looking at the app at that moment. If you have not chosen a language yet, Mektebi falls back to the language you used most recently. When a mosque adds a person, for example a child or a second parent, the new login starts in the language of the person who added them. The new person can change it at any time. {{shot:language-setting}} ## Romansh reads German Romansh is a small language, and not every text exists in it yet. Wherever something has not been translated into Romansh, you see the German text instead, and where German is missing too, the English one. This applies to the help guides, the videos and this book. Nobody is shown an empty page. The same idea works for the other languages: if a guide or a chapter has not yet been translated, you get the English text and a short note saying so. {{shot:help-guide-sq}} ## About the quality of the translations The translations are prepared with care and a lot of attention to the vocabulary of a mekteb, but a translated text is not always checked by a person who speaks that language every day. Where a text has not been checked yet, it can still contain a stiff phrase or a small mistake. The English text is the original. If something sounds wrong to you, tell the mosque or write to support@fetosoft.com. Corrections are welcome and make Mektebi better for the next family. ## What does not change with the language The language changes the words, not the rules. The roles, the privacy rules and the grades work the same way in every language. For legal matters, the [privacy policy](/privacy), the [data processing agreement](/dpa) and the [terms](/terms) are the binding texts. If anything in this book differs from them, those texts apply. Source: https://mektebi.ch/book/languages?locale=en --- # Apps and updates _Mektebi 1.3 · reviewed 2026-10-24_ The Mektebi apps for iPhone, iPad and Android show the live website, so most updates reach everyone at once without installing anything. Mektebi is available as an app for iPhone and iPad from the App Store and for Android from Google Play. You can also use it in any browser. It is the same Mektebi in all three places. ## The apps show the live website The apps are a frame around the Mektebi website, with a few things only a phone can do, such as a tab bar at the bottom and notifications. Everything you see inside, the courses, the chats, the timetable and the grades, comes from the live website, with the same data and the same rules for each role. Whatever the [privacy policy](/privacy) says about the website applies to the apps as well. {{shot:help-panel-version}} ## Why most updates need no installation Because the apps show the live website, an improvement to the website reaches **every** installed app at the same moment. A new screen, a fixed mistake or a better text appears the next time the app opens. Nobody has to wait for a store, and nobody is left on an old version of the screens. This also means the website must keep working in the apps people already have. Some people update their phone apps late or never, and Mektebi is built so that these older apps still work. ## When the store is involved A small part of the apps lives on the phone itself, such as the bottom tab bar, the way notifications arrive, the permission questions and the app icon. A change to that part reaches people only with a new version of the app from the App Store or Google Play. The store checks the new version first, and then each person installs it when their phone updates. That takes days or weeks, so it happens rarely and only when it is needed. If a new feature depends on something in the app itself, Mektebi checks first whether your app can do it. An older app keeps working in the usual way and simply does not get the extra. ## What the apps ask your phone for - **Notifications.** Only if you allow them. You can turn them off on your phone at any time, and you can choose which kinds you want in your notification settings. Chapter [Messages, notices and emails](/book/messages-notifications-emails) explains what arrives. - **Microphone.** Only while you record a voice message or a recitation. - **Camera.** Only when you take a photo to send in a chat, to attach to an assignment or to answer a lesson exercise. - **Face ID.** On iPhone and iPad, only if you switch on the app lock (see chapter [Security and privacy](/book/security-and-privacy)). Your phone always asks you first, and you can take the permission back at any time in your phone's settings. ## No advertising, no tracking The apps contain no advertising, no tracking and no analytics from other companies. ## Your account in the app You can delete your account yourself, in the app or on the website, under Settings and then Danger zone. The [privacy policy](/privacy) describes what is deleted. ## What's new When a new version brings something for you, a short What's new sheet opens once, in the app and on the website alike. Chapter [Versions and what's new](/book/versions-and-whats-new) explains it. {{shot:whats-new-sheet}} ## Where to see which version you have The Help panel and the settings show the version of Mektebi, for example "Mektebi 1.3". It is the same number on the website and in the apps. The App Store and Google Play show a number of their own for the app itself, which changes only with a new version from the store. Chapter [Versions and what's new](/book/versions-and-whats-new) explains what it means. ## Binding texts The binding texts are the [privacy policy](/privacy), the [data processing agreement](/dpa) and the [terms](/terms). If anything here differs from them, those texts apply. Source: https://mektebi.ch/book/apps-and-updates?locale=en --- # Messages, notices and emails _Mektebi 1.3 · reviewed 2026-10-24_ How people write to each other in Mektebi, what arrives as a notification or an email, and how each person can switch kinds off. A mekteb lives on small, everyday messages: a child is ill, the class is moved, a permission slip is needed. Mektebi has three ways to reach people, and each one has a clear purpose: chats, mosque notices, and notifications with a few emails. ## Chats Chats stay inside one mosque. They never reach beyond it. - Students and parents can write to their muallims and to the mosque office. - Muallims can write to their students and to the students' parents. - A muallim can run a class channel for a course. Students can reply there only if the muallim allows it. - Approved parents of a child under 18 can read along in their child's chats, but do not write in them. - A message can be text, a voice message, a photo, a PDF or a card that links to a lesson, a course or an assignment. {{shot:chat-thread}} Because many students are children, the admins of a mosque can open every chat of that mosque. This is a safeguard for the children, and the [privacy policy](/privacy) says so openly. You can delete your own message within 15 minutes of sending it. Mektebi removes its text and any file. ### Report and block If a message is not acceptable, you can report it, and you can block a person. After a block, you no longer see that person's messages or get notifications about them, and they can no longer start a chat with you. A report goes to the mosque's admins and to the Mektebi team. The author is not told who reported them. ## Mosque notices A notice is a message from the mosque to many people at once, for example about a closure, a trip or a permission slip. The mosque can allow its muallims to send notices as well. A notice may carry a PDF or an image. A notice arrives as a notification and appears on the website and in the app. Closures and urgent notices, and notices for people who do not use the app, also come by email. Where a notice asks for an answer, a parent can confirm it for each child. {{shot:notice-compose}} The admins of the mosque can see who received a notice, who opened it and who confirmed it. A muallim who sent a notice sees only the numbers. ## Notifications A notification tells you that something new is waiting. On the website it appears in your inbox. In the apps and in the browser it can also appear as an alert on your device, if you allow it. Typical examples are a reminder the day before homework is due, a new grade, a new chat message, a mosque notice and an absence report. A chat alert shows the sender and the beginning of the message. For a voice message, a photo or a file, it shows only the kind of message. The note a parent writes with an absence report is never shown in a notification or an email. To deliver alerts to a phone, the text of the alert passes through Apple or Google, who deliver it and do nothing else with it. ## Emails Typical emails from Mektebi are account emails such as confirming an address or resetting a password, urgent notices and a short note about new versions of Mektebi for mosque admins (see chapter [Versions and what's new](/book/versions-and-whats-new)). The emails are sent through Postmark. Every email is built the same way. It has one clear main button, a line that tells you why you are receiving it, and, for notifications, a link to the settings where you can switch that kind off. Every email is available in all six languages and is written in the language of the person who receives it. ## Choosing what you receive In your notification settings you decide which kinds of notification you want. You can switch off absences reported by parents, homework due tomorrow, chat messages, notices from the mosque, Qur'an progress and progress reports. Muallims and admins can also switch off alerts for students they follow, and admins can switch off the emails about new versions. A kind is on until you switch it off. Messages already in your inbox stay. {{shot:notification-settings}} On a phone, you can also turn off all alerts for Mektebi in your phone's settings. ## What is not promised Messages are protected on their way and in storage: the connection is encrypted, and the text of chats is encrypted at rest. Mektebi does not claim that messages are visible only to the two people writing, because, as written above, the admins of the mosque can open the chats of their mosque. ## Binding texts The binding texts are the [privacy policy](/privacy), the [data processing agreement](/dpa) and the [terms](/terms). If anything here differs from them, those texts apply. Source: https://mektebi.ch/book/messages-notifications-emails?locale=en --- # AI features _Mektebi 1.3 · reviewed 2026-10-24_ Mektebi works with the AI tool you already use, such as Claude or ChatGPT. The help connector shares only the public guides; the Course Assistant helps muallims build draft courses and never sees data about students or families. Mektebi does not have an AI of its own. Its AI features work with an AI tool that you choose and use under your own account, for example Claude or ChatGPT. This chapter explains the three ways to use one, and what the AI tool can and cannot see in each. The promises themselves are in the [privacy policy](/privacy) and the [data processing agreement](/dpa). There are two kinds of connection, and they are kept apart: - **Help:** the public help guides and this book. Anyone can use them, without signing in, and they contain no data of any mosque. - **The Course Assistant:** for muallims and admins who are signed in. It works on draft courses of their mosque, and on nothing else. ## Copy a guide for ChatGPT or Claude Every help guide has a **Copy for ChatGPT / Claude** button. It copies the guide's text with a short note. You paste it into your AI tool together with your question, and the AI tool answers from the guide. Nothing is sent anywhere by Mektebi: you decide what you paste. Never paste children's names or other personal data into an AI tool. {{shot:help-guide-copy-ai}} ## Connect your AI tool to the help guides You can also give Claude or ChatGPT all the help guides at once. You connect it one time, and from then on you can simply ask it how something works in Mektebi. 1. Open **Help** in Mektebi and find the card **Connect your AI tool**. 2. Copy the help address: `https://mektebi.ch/help/mcp` 3. In your AI tool's settings, add a new connector, paste the address and give it a name, for example "Mektebi Help". The card shows the exact steps for Claude and for ChatGPT. The help connector is public and read-only: - It needs no sign-in and no Mektebi account. - It shares only the public help guides, the public chapters of this book and the notes on what is new. It never shares your mosque's data. - It cannot change anything in Mektebi. In the Mektebi app, copy the address there and add the connector in your web browser. {{shot:connect-ai-card}} ## The Course Assistant for muallims The Course Assistant helps a muallim or an admin turn their own teaching material, such as a PDF, a Word file or photos of a book, into a draft course in Mektebi. The AI tool asks about the audience, the level and the languages, shows an outline, and creates the draft after you agree: chapters, lessons, assignments and translations. **Turning it on.** The Course Assistant is off by default. Each muallim or admin switches it on for themselves, for one mosque, in **Settings → AI assistant** on the website. The mosque must have accepted the [data processing agreement](/dpa) first. When you connect your AI tool, a Mektebi window opens where you sign in, choose your mosque and role, and allow the connection. **What it can work on.** Only drafts that were created with the Course Assistant in your mosque, while they are not published and not in use. A draft stops being open to the assistant as soon as it is published, or once learners are enrolled or it has a timetable, grades or certificates. Courses made in Mektebi itself are never open to it. These drafts are shared within your mosque, so a colleague who connects their own AI tool can work on them too. **What it never sees.** Mektebi never gives the AI tool data about students, families or other people. It cannot see your mosque's members, enrolments, grades, attendance or chats. **You stay in charge.** - The AI tool cannot publish a course. You check the draft and publish it yourself in Mektebi. - A course created this way shows the label **Created with AI assistant** while it is a draft. - Languages that the AI tool translated can be marked for review. The course page then shows a banner until a muallim clicks **Mark as reviewed**. - Exercises with Arabic letters stay hidden from learners until a muallim has checked the Arabic, and a course cannot be published before that. Where the Arabic contains the name of Allah or a word of the Qur'an, only an admin of the mosque, such as the imam, can confirm it. This applies to every course, not only to AI drafts. - Translations of the meaning of Qur'anic text must be checked by the imam or a muallim before you publish. **A tip for your AI chat.** Use a chat in which only the Mektebi connector is switched on, and turn off email, drive, calendar and other connectors there. Text inside a document can try to give your AI tool instructions, and it should not be able to reach your other accounts from that chat. **Disconnecting.** You can disconnect your AI tool at any time in **Settings → AI assistant**, or switch the Course Assistant off to end all connections at once. ## Who processes what When you use an AI tool with Mektebi, the material you give it, and the draft course content it reads back from Mektebi, is processed by the AI provider under your own account and its own terms. The provider is not one of FETOSOFT's sub-processors. Choose your AI tool, and its settings, with that in mind. ## Binding texts The binding texts are the [privacy policy](/privacy), in particular its section on AI assistants you connect, and the [data processing agreement](/dpa). If anything here differs from them, those texts apply. Source: https://mektebi.ch/book/ai-features?locale=en --- # Security and privacy _Mektebi 1.3 · reviewed 2026-10-24_ How Mektebi protects the data of mosques and families, what you can do yourself to keep your account safe, and which rights you have. This chapter explains, in plain words, how the data on Mektebi is protected and which rights you have. The promises themselves are in the [privacy policy](/privacy), in its section on keeping your data secure, and in the [data processing agreement](/dpa), in its list of technical and organisational measures. ## Encrypted on the way and in storage **On the way.** All communication with Mektebi is encrypted in transit, on the website and in the apps. **In storage.** Sensitive personal data is also encrypted in the database. This includes: - postal and contact addresses, phone numbers, dates of birth and gender; - religious titles and guardian-relationship details; - teachers' notes, grades and remarks on grades and attendance; - the text of chat messages and the notes in absence reports; - teachers' notes on recitations, remarks in progress reports and the published progress reports themselves; - two-factor secrets and access tokens. **Files.** Files in chats, homework, notices and lesson exercises, and recitation recordings, are shown only to the people allowed to see them, through links that expire after five minutes. ## Passwords and sign-in **Passwords:** never stored in readable form, only as salted hashes. **Sessions:** your session cookie is encrypted and holds only a random key, which Mektebi checks against its own record of your session. Signing out really ends the session. A device that has not been used for two weeks must sign in again, and changing your password signs out your other devices. ## What you can do yourself - **Two-factor authentication.** You can switch it on in **Settings → Two-factor**. Signing in then needs a code from an authenticator app as well as your password. It is optional. - **Passkeys.** In **Settings → Passkeys & biometric** you can add a passkey, so that you sign in with Face ID or your fingerprint instead of typing your password. A passkey is a private key on your device. On the same page you can switch on the **Biometric app lock**, so that the installed app asks for Face ID or your fingerprint each time you open it. - **Sign out on shared devices,** and choose a password that you use nowhere else. {{shot:two-factor-settings}} ## Who can see what All data is stored on access-controlled servers in the European Economic Area. Each mosque sees only its own records, and inside a mosque each role, admin, muallim, parent or student, has only the access it needs. Chapter 2, "Your data stays yours", explains how this works for one person in several mosques, and where the data is stored. Authorised FETOSOFT support staff look into a mosque's data only when it is needed for support or to keep the platform running, and they are bound by confidentiality. ## No advertising, no tracking There is no advertising, tracking or profiling inside the platform or the apps, and personal data is never sold or shared for commercial purposes. Usage statistics are used only on the public website, for visitors who are not signed in, and their analytics cookies are set only after the visitor clicks "Accept". ## What reaches your phone If you allow notifications in the app, each notification's title, short text and link are passed to Apple or Google, only to deliver the notification to your device. You can switch off individual kinds of notification in your notification settings, or all of them in your device settings. {{shot:notification-settings}} ## If something goes wrong If FETOSOFT becomes aware of a personal data breach, it informs the mosque without undue delay, with the information the mosque needs to meet its own obligations. FETOSOFT also helps the mosque to protect the data and to answer requests from the people concerned. ## Your rights and your account You have the right to see the data held about you, to have it corrected or deleted, to restrict or object to its processing, to receive it in a portable format, and to withdraw your consent at any time. Chapter 2 explains these rights in more detail. You can delete your account yourself, in the app or on the website, under **Settings → Danger zone → Delete account**. The personal data that belongs to it is then deleted as the [privacy policy](/privacy) describes. ## Changes and contact The privacy policy may be updated from time to time. The new version is posted on the website, and where the changes are material, reasonable steps are taken to let you know. For any question about your data or about security, write to FETOSOFT DOOEL, Kumanovo, North Macedonia, at support@fetosoft.com. If you are a student, a parent or a muallim, your mosque is usually the quickest place to ask. ## Binding texts The binding texts are the [privacy policy](/privacy), the [data processing agreement](/dpa) and the [terms](/terms). If anything here differs from them, those texts apply. Source: https://mektebi.ch/book/security-and-privacy?locale=en --- # Versions and what's new _Mektebi 1.3 · reviewed 2026-10-24_ Mektebi has one version number for the website and the apps, a short What's new sheet that shows once per version, and an email for mosque admins. Mektebi keeps changing, and people should be able to tell what changed and for whom. This chapter explains the version number, the What's new sheet and the email for admins. ## One version for the website and the apps Mektebi has one version, written as two numbers, for example **Mektebi 1.3**. The website and the iPhone, iPad and Android apps show the same number, because the apps show the live website (see [Apps and updates](/book/apps-and-updates)). You find it in the Help panel and in the settings. The App Store and Google Play show a number of their own for the app itself, which changes only with a new version from the store. This book carries the version too. The edition of the book is the version of Mektebi it was written for, and each chapter shows the date on which it was last checked against the screens. {{shot:help-panel-version}} ## New version and small fixes The first number changes rarely. The second number changes when something people can read about in this book changes: a new feature, a new screen or a new rule. That is a **new version**, such as 1.2 to 1.3. Small fixes and improvements in between do not change what the book says, so the number you see stays the same. Not every update to the website changes it. Mektebi does not announce a release schedule. ## What's new When a new version brings something for you, a short **What's new** sheet opens the next time you use Mektebi. It lists only what concerns your role. An admin sees the changes for admins, and a parent sees the changes for parents. Each entry is a few words and, where it helps, a link to the guide or the chapter that explains it. You see the sheet **once** for each version. When you close it, Mektebi remembers that, on every device you use. If a version has nothing for your role, you see no sheet at all. {{shot:whats-new-sheet}} The page **What's new** lists every version with its notes, again filtered for your role. You can open it from the Help panel, next to the version number, whenever you want to look something up again. {{shot:whats-new-page}} ## The email for mosque admins Admins and owners of a mosque are the people who decide how the mekteb is run, so they also get a short email for each new version that has news for admins, with what changed for them. A version with nothing for admins sends no email. The email has one button that opens the What's new page. - It goes **only to admins and owners** of mosques. Muallims, students and parents do not receive it. - A person who runs several mosques gets one email, not one per mosque. - It arrives in the language of the person. - Every email has a link to the settings where it can be switched off. You can also switch it off yourself under Settings, Notifications, "New Mektebi versions". The switch follows the person, not the mosque they are looking at. {{shot:notification-settings}} Switching the email off does not hide the sheet or the page. They are always there for the person who wants to read them. ## Binding texts The binding texts are the [privacy policy](/privacy), the [data processing agreement](/dpa) and the [terms](/terms). If anything here differs from them, those texts apply. Source: https://mektebi.ch/book/versions-and-whats-new?locale=en
